The latest file should not depend on the latest message.

Chat attachments and personal downloads make a business file easy to copy and difficult to govern.

Drive gives the file a stable home, then makes its path, audience and capacity part of the same workspace.

One file, different audiences

Access changes. The file stays put.

Keep owned work, received files, named teammates and external links distinct.

My Drive

Your working files, arranged your way.

Create folders, upload documents and move through the hierarchy with a breadcrumb trail.
  • Create and upload
  • Rename and organise
  • Manage sharing

A file is only useful when the right person can find it.

One home. Clear reach.

The file journey

Keep the context from creation to handoff.

Start, organise, work and share without creating a second trail outside the business system.

Start the file

Create here, or bring the work you already have.

Open a blank document, spreadsheet or presentation, or upload several existing files into the current folder.

Give it a place

The folder path carries the business context.

Nested folders, breadcrumbs, search and sorting make a growing file space easier to navigate without flattening it.

Work in context

Preview first. Edit when the document needs it.

Open images, PDFs and text quickly, or continue supported office work through the configured browser editor.

Choose the audience

Share the file without giving up the boundary.

Select a teammate role or issue a public link with the viewing, download and expiry rules the situation needs.

Storage that stays visible

Know the space before the next upload.

Drive shows the organisation’s used storage against its available capacity. Base capacity follows effective seats, with additional storage available through configured tiers.

Complete capability directory

Everything Drive keeps together.

Create & upload

Start a working document in Drive or bring in the files the business already uses.

  • Upload several files in one selection and keep each result visible in the current folder.
  • Create a blank Word document, Excel spreadsheet or PowerPoint presentation from the New menu.
  • Name a new file before opening it in the document editor.
  • Create files at the Drive root or inside the folder currently being viewed.
  • Recognise documents, spreadsheets, presentations, PDFs, images, archives, audio, video, code and text with distinct file treatments.
  • Keep the stored file name, content type, file size, created date and latest update date with the record.
  • Reject empty uploads and stop new files before they exceed the organisation’s available storage.

Organise & find

Build a folder structure that mirrors the business, then reach the right file without scanning everything.

  • Create named folders at the root or inside another folder.
  • Move through nested folders with a breadcrumb path back to any parent or Drive home.
  • See file and subfolder counts on each folder card.
  • Search file and folder names within the current location.
  • Sort by name, latest modification or file size.
  • Switch between a visual grid and a detailed list with name, modified date and size columns.
  • Keep the preferred grid or list view for the next visit on the same device.
  • Rename files while preserving their existing extension.
  • Rename folders or delete a folder and its nested contents through permission-controlled actions.

Open, preview & edit

Review common files immediately and open office documents in a focused editor when configured.

  • Preview supported images in an overlay without downloading them first.
  • Open PDF, plain-text and JSON content in the built-in preview experience.
  • Download any accessible file from its card, row, preview or editor.
  • Open Word, spreadsheet and presentation formats in the browser document editor when that service is configured.
  • Create and edit DOCX, XLSX and PPTX files directly from Drive.
  • Autosave and force-save supported office edits back to the stored Drive file.
  • Open older Word, spreadsheet and presentation formats in their supported editor mode.
  • Fall back to download when a file type cannot be previewed in the browser.

Team sharing

Give a specific teammate the right level of access and keep received files separate from owned work.

  • Share an individual file with another member of the same organisation.
  • Choose Viewer or Editor access for each selected teammate.
  • Update a teammate’s permission after the file has been shared.
  • Remove a member share when collaboration ends.
  • Review every person currently added to a file with their name, email and permission.
  • Open received files from a dedicated Shared with me view.
  • See the file owner and assigned permission on received file records.

Storage & access control

Keep capacity, ownership and administrative reach visible as the organisation grows.

  • See used bytes, available gigabytes and storage percentage at the top of Drive.
  • Warn visually as the organisation approaches its storage limit.
  • Provide base Drive capacity in line with the organisation’s effective user seats.
  • Add more capacity through the configured Drive storage tiers.
  • Limit upload and creation actions to users with Drive upload permission.
  • Limit deletion to users with Drive delete permission and the corresponding file access.
  • Allow organisation owners or View All Files permission holders to read files beyond their personal workspace.
  • Allow organisation owners or Modify Any File permission holders to manage files beyond their own uploads.
  • Keep ordinary members scoped to files they own or files shared directly with them.

Questions, answered

Before you move the files in.

Can we upload more than one file at a time?

Yes. Choose multiple files in one upload. Drive processes each file, reports failures individually and refreshes the current folder with the successful uploads.

Can we create documents inside Drive?

Yes. Create a blank Word document, Excel spreadsheet or PowerPoint presentation, name it and open it in the browser editor. Editing depends on the document-editor service being configured for the deployment.

Which files can be previewed without downloading?

The current preview supports common images, PDF, plain text and JSON. Other formats remain downloadable, while office formats open through the configured document editor.

How does teammate sharing work?

Choose another member of your organisation and assign Viewer or Editor access. You can change the role or remove the share later, and received files appear under Shared with me.

Can someone outside Scalar360 open a file?

Yes. Create a public link with view-only or download access. It can expire after one, seven or thirty days, remain without an expiry date, and be revoked at any time.

Is Drive storage unlimited?

No. Drive shows the organisation’s current usage and available capacity. Base capacity follows effective seats, and additional storage is available through configured Drive tiers.
