Quote-to-cash is the connected record of what a customer accepted, what the business delivered, what it billed and what remains unpaid. Keeping that record intact reduces disputes and makes receivable follow-up more specific.
Protect the commercial agreement
Keep item descriptions, quantities, prices, discounts, tax treatment and validity terms explicit in the quotation. When the customer accepts, convert the approved record instead of recreating it by hand.
Record changes through a controlled revision or a later adjustment so the history remains understandable.
Connect fulfilment and billing
For goods, compare ordered, shipped and remaining quantities before invoicing. For services, define the delivery event or billing milestone that authorises the invoice.
- Confirm customer GSTIN and place-of-supply information.
- Apply the appropriate tax treatment and document numbering controls.
- Retain delivery, return and credit-note references beside the invoice.
Make collections part of the flow
Record partial and full receipts against the invoice they settle. Ageing should then show which customer balances need action, while payment history explains earlier conversations.
GST and accounting treatment depend on the specific transaction and current requirements. Have a qualified professional review your configuration and statutory obligations.
